Data Coordinator at Siemens Mobility

Are you a structured and meticulous person who loves to ensure that information is accurate, accessible, and up-to-date? Then you might be the one we are looking for! We are currently seeking an engaged Data Coordinator to join our team at Siemens Mobility.

In your role as a Data Coordinator, you will be primarily responsible for the documentation process at Siemens Mobility, acting as a sub-project manager for documentation. This involves leading, planning, developing, and executing documentation management, with regard to deliveries and processes. This entails continuous dialogue with project members, clients, and subcontractors. There is a strong focus on communication in this role, both internally and externally. We would prefer you to be based in our offices in Stockholm, Gothenburg, Sundsvall, or Västerås.

Your tasks will involve administration with many interfaces, so it is important that you enjoy structure and order. The ability to collaborate and communicate clearly is essential in this role.

As a Data Coordinator, you play a key role in ensuring high quality and efficiency in our documentation management. You are used to working independently and continuously prioritizing and organizing your tasks to meet set goals. You are an important piece of the puzzle in contributing to the success of our projects!

You will work with:

  • Establishing documentation structure and documentation lists for deliveries, both digitally and physically
  • In consultation with project managers, setting timelines and responsibilities for documentation deliveries
  • Establishing review routines internally and externally and reviewing formalities
  • Coordinating documentation deliveries (internally/externally)
  • Ensuring compliance with documentation requirements internally and externally, as well as identifying potential opportunities and risks
  • Inputting into document management systems
  • Handing over technical facility documentation to management.
  • Supporting and training staff in document management and, if necessary, training in our systems and processes
  • Identifying and implementing improvements in our documentation processes for increased efficiency

To succeed in this role, we see that you have:

  • A relevant post-secondary education in information management, technology, administration, or equivalent work experience
  • At least 3 years of experience in similar roles within document management, preferably from a technical environment, ideally within the railway, infrastructure, or contracting industries
  • Good knowledge of technical documentation, drawings, and various document types
  • Experience in requirements management within documentation and the routines and standards that exist
  • Good knowledge of relevant document management systems and the Microsoft Office suite (especially Word, Excel, and SharePoint)
  • Very good knowledge of Swedish and English, both spoken and written, as we work in an international environment
  • You are structured, meticulous, proactive, and have a good ability to prioritize and manage multiple tasks simultaneously. You are communicative and enjoy supporting others, as well as having an understanding of requirements management and its critical role in project success

We see it as a great bonus if you have:

  • Basic knowledge of any digital drawing program (e.g., CAD).
  • Experience and knowledge of the Swedish Transport Administration's and/or Transport Authority's requirement documentation (e.g., TDOK, TRVINFRA, SSÄK) and documentation systems (e.g., EBBOT, IDA, ProjectWise, Project Portal)
  • Familiarity with contracts and knowledge of contracting and consulting law
  • Work experience from construction projects, such as railway and subway projects, as well as collaboration with clients such as the Swedish Transport Administration or Stockholm's Transport Authority
